Job Description
Sr. Administrative Assistant-School of Nursing & Health Studies
The Sr. Administrative Assistant performs a variety of clerical functions and office support activities for the Associate Dean for Research to facilitate the efficient operations of the School of Nursing and Health Studies.
Supports ADR with daily clerical tasks including maintaining calendar, updating CV, supporting deadline management.
Plans ADR-related meetings and takes detailed minutes and assists with follow-through, as needed.
Answers phone calls, provides information to callers or connects callers to appropriate staff.
Makes travel arrangements and reservations for department leadership and staff, as needed.
Composes and types correspondence, such as informative materials; creates spreadsheets and presentations.
Greets and provides general support to visitors.
Develops and maintains department filing system.
Prepares reports related to the ADR role including collecting and organizing data. Assists with collecting content for the school’s research-related web pages and social media Triages requests for technical assistance for research proposals, including coordinating mock proposal reviews.
Assists with the PhD program including responding to student requests, maintaining program files, coordinating dissertation defenses, navigating curriculum changes through the approval process, collecting data for reports, and coordinating student assignment process.
Performs other duties as assigned.
Adheres to University and unit-level policies and procedures and safeguards University assets.
CORE QUALIFICATIONS

Education:

High School Diploma or equivalent

Experience:

Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:
General knowledge of office procedures and operations
Ability to accurately prepare and maintain records, files, reports and correspondence
Ability to communicate effectively in both oral and written form
Ability to maintain effective interpersonal relationships
Ability to process and handle confidential information with discretion
Skill in completing assignments accurately and with attention to detail
Proficiency in computer software (i.e. Microsoft Office)
